Creating or Editing a Ring Group in 3CX

Follow these steps to configure a ring group for managing inbound calls to your team:


Step 1: Create a New Ring Group

  1. Navigate to Admin > Call Handling in your 3CX management console.
  2. Select + Add Ring Group to start configuring a new group.

Step 2: Configure Basic Settings

  • Virtual Extension Number: Assign an unused extension number for the group.
  • Ring Group Name: Enter a descriptive name (e.g., Sales Team).
  • Department: Assign the department associated with this ring group. This determines the office hours the group follows.
  • Assigned DID Number(s): Select existing DID numbers from the dropdown to route inbound calls directly to this group.

Step 3: Set Up Ring Strategy

  1. Ring Strategy:
    • Ring All: Rings all members simultaneously.
    • Prioritized Hunt: Rings members sequentially (top to bottom in the user list).
  2. Ring Time (seconds): Set how long the system rings members before moving to the next step (default: 20 seconds).

Step 4: Define Call Routing Destinations

In the Destinations section, configure where calls should route during:

  • Out-of-Office Hours
  • Break Times
  • Holidays
    (Examples: Voicemail, another extension, or an external number.)

Step 5: Add Users to the Ring Group

  1. Go to the Users tab.
  2. Click + Add User and search by name or extension number.
    • For Prioritized Hunt: Drag and drop users to prioritize the calling order.

Step 6: Configure Additional Options

Options Tab:

    • Upload or record a custom greeting for callers.
    • Enable call transcriptions if needed.

Step 7: Save Changes

Click Save to finalize the configuration for your 3CX ring group.
